Chindaliya Rentals is the equipment rental and transport company our founder runs in Vidarbha. It is also our longest-running deployment: every quotation, work order, invoice and machine-hour in that business moves through this system.

Rates live in the owner’s head. Machine hours live in a driver’s notebook. Month-end is an argument: how many hours did the excavator actually run, who signed for the diesel, why does the client’s number not match yours. Every dispute costs money, and the owner is the only person who can settle any of it.
We didn’t observe this problem in a client’s office. We lived it. This is our founder’s own fleet, and the mess described above was his own month-end.
The fix
One system, from the first enquiry to the signed invoice.
- Public website with a self-serve booking wizard: multiple machines, per-machine tenure, a booking number on the spot
- Quotation → work order → invoice chain that cannot fall out of sync: one source of truth for every amount
- The operation log: every hour, operator and litre of diesel recorded, and shipped with the invoice as an annexure
- Print-grade documents: tax invoices, quotations, rate cards and booking summaries designed to be handed over
- Daily machine book, deployments hub, utilisation register, transport and dispatch, payroll, maintenance, accounting with Tally export
- Operator app for the field, client portal for customers, tokenised trip-tracking links

Why this case is different
We didn’t demo this software. We live with it.
Most software gets shown in a sales meeting and judged in a conference room. This system gets judged every month-end, by the person who built it, with his own money on the line. When a billing rule is wrong, our founder is the first person it costs. That is a quality bar no client engagement can fake.
The bones of this system fit any rental, transport or trade business: things go out, things come back, hours get logged, bills get argued. We’ve already fought those arguments on our own books.
